Getting Started

Employee tips for getting started in the Division of Biology and Medicine

Brown ID Number & Account

  • Prior to your first day you will receive an email with your Brown ID number, which is required for activating your Brown account.
  • Employees should go to https://myaccount.brown.edu/activate to activate their account.
  • Once you have activated your account, log into Workday using your new Brown username and password to complete your onboarding tasks.

Brown ID Card & I-9

  • Visit the HR Service Center to present your I-9 documentation and get your Brown ID card. The BBC is located at Page-Robinson Hall, 69 Brown Street, 2nd floor.
  • You must complete the I-9 process within 3 days of your start date, otherwise your position may be terminated due to non-compliance.

Building Card Access

  • Contact your department administration to request card access to BioMed buildings and specific rooms.  The form must be signed by a department authorized signatory and BioMed Facilities.

Key Access

  • Key access can be requested by completing the Key Request Form on the BioMed Facilities website.
  • The individual requesting the keys will be contacted with pickup instructions once the request is approved.

Parking

  • If you are looking to obtain parking on campus, plan to visit the Transportation Office, which is located in Page-Robinson Hall, 69 Brown Street, 5th floor.

Brown Email/Gmail

  • Once you receive your Brown ID and activate your Brown account you can set up email.
  • Visit myaccount.brown.edu
  • Click "Log in and Manage Account"
  • If prompted, log in with your Brown username and password.
  • On the left menu, click Activate Brown Google Account
  • Follow the steps on the screen to complete activation. Click here for complete instructions.
  • After activating, your email address will appear on the bottom of your Profile (link on left menu). You can log into your email at gmail.com.

Orientation

  • BioMed Human Resources will provide dates for both University Orientation and BioMed Orientation in the Onboarding email sent to new employees.
  • University Orientation introduces you to leadership at the University level and provides a benefits overview. New employees must register for the University Orientation in Workday via a task assigned within the 2 weeks following their start date.
  • BioMed Orientation is specific to the Division of Biology & Medicine and provides a deeper dive into other employee programs and benefits. BioMed Human Resources will send an email invitation to new employees within a few days before the next session date after following their start date.
